Privacy Policy

This Privacy Policy explains what information VN Signing Services LLC (“we,” “us”), doing business as SaffronSeal, collects through the Platform, how we use it, and the choices you have.

1. Information we collect

Account information — name, email, phone number, password (hashed, never stored in plain text), and role (Customer, Company, or Notary).

Booking information — the document type, location, scheduling details, and messages exchanged for a booking. If you upload a document for a signing, we store it only to complete that booking and give the assigned Notary access to it.

Notary credential information— for Notary accounts: commission state, number, and expiration; E&O insurance details; background-check status; and any certifications you add. This is core to how the Platform verifies who can accept bookings.

Payment information — payments are handled by Stripe. We do not store your full card number; we store the minimum Stripe identifiers needed to process a booking, issue a payout, or process a refund.

Usage information — device, browser, IP address, and how you interact with the Platform, collected automatically to keep the service working and secure.

2. How we use information

• To create and secure your account and match bookings;
• To process payments and Notary payouts through Stripe Connect;
• To verify Notary credentials before a profile can accept bookings;
• To send booking confirmations, reminders, and service communications;
• To respond to support requests sent to us directly; and
• To detect fraud, abuse, and keep the Platform secure and legally compliant.

We do not sell your personal information, and we do not use document contents you upload for anything other than completing the booking they were uploaded for.

3. Who we share information with

• The Notary or Customer on your booking — the minimum information needed to complete the appointment (name, contact details, document type, location).
• Stripe, Inc. — to process payments and, for Notaries, Connect payouts. Stripe has its own privacy policy governing the data it processes on our behalf.
• Background-check providers — for Notaries who complete a background check through the Platform.
• Service providers we use to run SaffronSeal — for example, hosting, email delivery, and error monitoring — under agreements that limit their use of your data to providing that service to us.
• Law enforcement or regulators, only when required by law or to protect the safety of our users.

4. Data retention

We keep account and booking records for as long as your account is active and for a reasonable period after, to satisfy legal, accounting, and dispute-resolution needs — including the record retention periods some states require for notarial acts. You can ask us to delete your account (see Section 6); some records may be retained longer where the law requires it.

5. Cookies

We use essential cookies to keep you signed in and remember your preferences. We do not currently use third-party advertising cookies.

6. Your rights

Depending on where you live, you may have rights to access, correct, delete, or export your personal information, or to object to certain uses of it — for example, under the California Consumer Privacy Act (CCPA) if you're a California resident. To exercise any of these rights, email support@saffronseal.com and we'll respond as required by applicable law.

7. Children's privacy

SaffronSeal is not directed to, and we do not knowingly collect information from, anyone under 18.

8. Security

We use industry-standard safeguards — encryption in transit, hashed passwords, and access controls — to protect your information. No system is perfectly secure, and we can't guarantee absolute security.

9. Changes to this policy

We may update this Privacy Policy as SaffronSeal grows. We'll update the “Last updated” date above when we do, and flag material changes more prominently.
